Our Approach to Privacy
Marriage Assistance PH provides marriage consultancy, wedding organisation and post-marriage documentation coordination services in the Philippines.
Arranging a marriage can involve personal and legally significant information, including identification documents, marital history, consular records, wedding arrangements and information about other people involved in the ceremony.
We recognise that personal information must be handled lawfully, fairly, transparently and with appropriate protection.
This Policy applies to personal information processed through our website, business communications, enquiries, contracted services and related administration, according to the activities actually undertaken.
1. Who Is Responsible for Personal Information?
1.1 Operating Company
Marriage Assistance PH is operated by Nexus Solutions Global Ltd., a private limited company registered in England and Wales.
Company Registration Number: 17039233
Registered Office: 71–75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ.
Corporate Website: Nexus Solutions Global website
Corporate Email: support@nexussolutionsglobal.com
Nexus Solutions Global Ltd. is responsible as a data controller for processing activities whose purposes and means it determines.
Where the Philippine Data Privacy Act applies, the company must also fulfil any applicable responsibilities as a personal information controller.
Other organisations, including official authorities and independent service providers, may have their own data protection responsibilities.
1.2 Privacy Contact
For privacy enquiries, requests to exercise data protection rights or complaints concerning our handling of personal information, contact:
support@marriageassistantph.com
You may also write to our registered office.
Where an appropriately designated Data Protection Officer or other accountable privacy representative is required, the relevant appointment and contact arrangements must comply with the applicable legislation.
1.3 Relevant Legislation
Depending on the processing activity, applicable legislation may include:
- The UK General Data Protection Regulation (UK GDPR).
- The Data Protection Act 2018.
- Applicable amendments introduced by the Data (Use and Access) Act 2025.
- The Privacy and Electronic Communications Regulations.
- The Philippine Data Privacy Act of 2012 and its implementing rules.
The application of these laws depends on the circumstances of the processing and the relevant jurisdiction.
2. Categories of Personal Information
We process personal information connected to legitimate enquiries, purchased services, business administration and other identified purposes.
The information required depends on the particular circumstances.
2.1 Identity Information
For relevant contracted services, information may include full legal name, date of birth, nationality, citizenship, residence and identification details.
Passport or other government-issued identification information may be necessary for specified marriage preparation or documentation procedures.
2.2 Contact Information
We process contact details supplied for enquiries and service communications, including telephone numbers, email addresses, postal addresses and authorised messaging contact information.
2.3 Marital History and Marriage Eligibility
Where required for the agreed service, information may include:
- Current marital status.
- Previous marriage details.
- Relevant divorce, annulment or nullity documents.
- Evidence relating to a deceased former spouse.
- Legal capacity to marry.
- Residence details relevant to marriage procedures.
- Relevant consular or legal documentation.
We collect marital-history information only where necessary for the agreed service or another identified lawful purpose.
2.4 Supporting Documents
Where required and lawfully obtained, we may handle copies of birth certificates, identification documents, legal-capacity certificates, marriage application records, official certificates and other agreed supporting documents.
We distinguish the information needed to organise the service from documentation that must be handled personally or directly by a government authority.
2.5 Booking, Payment and Contract Information
We process relevant booking records, package selections, contractual communications, payment amounts, transaction references, invoices, refunds, service commencement records and records of work performed.
The information processed by any external payment provider depends on the payment arrangements actually used.
2.6 Wedding, Guest and Participant Information
Where necessary for the selected package, relevant information may include wedding dates, locations, witnesses, participants, guests, suppliers and arrangements requiring coordination.
We limit guest and participant information to what is necessary for the agreed purpose.
2.7 Wedding Photography and Video
Where photography or videography forms part of an agreed service and we receive or handle the material, personal information may include wedding photographs, recordings and associated information about identifiable individuals.
Providing photography or videography as a service does not automatically authorise us to use a couple's or guest's images in advertising, public portfolios, testimonials or social media.
Any separate promotional use requires its own appropriate legal basis and any permissions required by law.
2.8 Website and Technical Information
The website and any providers used to operate it may process technical information such as IP addresses, browser details, device information, requested pages, security events and technical logs.
Additional tracking or analytics information depends on the technologies actually enabled.
2.9 Customer Communications
We may retain relevant emails, authorised messaging communications, instructions, enquiries, complaints and service correspondence for legitimate service and business purposes.
3. Sources of Information and Required Details
3.1 Information Provided Directly
We receive information when individuals contact us, request a quotation, book a service or supply agreed documentation.
3.2 Information Provided by Others
Information may also be received from a fiancé or fiancée, authorised representative, relevant supplier or official institution where lawful and necessary.
The fact that one individual makes a booking does not automatically authorise unrestricted processing of another person's information.
3.3 Required and Optional Information
We distinguish information necessary to provide an agreed service from information that is optional.
Identification, marital status and relevant supporting documents may be required to determine applicable preparation requirements and coordinate lawful marriage arrangements.
If information essential to a particular activity is not supplied, we will explain the activity that cannot proceed and the reason.
Failure to provide information does not automatically remove contractual guarantees or other legal rights. Any consequences must be assessed under the applicable agreement and law.
3.4 Information About Other Individuals
Where personal information is obtained from someone other than the individual concerned, we will provide the required privacy information in accordance with applicable law.
Where UK GDPR Article 14 applies, this will generally be within a reasonable period and no later than one month, or earlier where required by first communication or first disclosure, unless a lawful exception applies.
4. Purposes of Processing and UK GDPR Lawful Bases
The lawful basis for processing depends on the purpose of the activity and the relationship with the individual.
For ordinary activities performed in connection with our services, the following UK GDPR bases are relevant.
| Processing purpose | Relevant lawful basis |
|---|---|
| Responding to an individual's requested quotation or preparing an agreement with them | Article 6(1)(b) — steps requested before entering a contract |
| Delivering agreed services to the contracting individual | Article 6(1)(b) — performance of a contract |
| Keeping financial and accounting records required by applicable law | Article 6(1)(c) — legal obligation |
| Managing business security, preventing fraud and protecting relevant contractual evidence | Article 6(1)(f) — legitimate interests, where the required assessment supports this basis |
| Establishing, exercising or defending legal claims | Article 6(1)(f) or another applicable basis, depending on the activity and the information involved |
| Processing information about guests, witnesses or other non-contracting individuals | The lawful basis appropriate to the particular processing purpose, including legitimate interests where justified or consent where required |
| Promotional communications | Consent or another lawfully available basis, subject to applicable electronic marketing rules |
These bases do not remove the need for any additional legal condition applicable to sensitive or special category information.
4.1 Contractual Services
Contractual information is processed where necessary to prepare for or deliver the services purchased by the individual concerned.
This may include requirements guidance, scheduling, wedding arrangements and relevant documentation coordination.
4.2 Legal Obligations
Certain information must be processed to comply with applicable legal duties, including relevant accounting, tax, legal and data protection obligations.
4.3 Legitimate Interests
Where we rely on legitimate interests, these may include preventing fraud, securing business operations, managing legitimate disputes and maintaining evidence of services properly performed.
We must consider whether the processing is necessary and whether the individual's rights or interests override the interest pursued.
Legitimate interests are not a general permission to process information for any purpose.
4.4 Marketing
Promotional processing must comply with UK GDPR, applicable electronic communications legislation and any relevant Philippine privacy requirements.
Where marketing consent is legally necessary, that consent must be obtained before the relevant activity.
We distinguish operational messages necessary for a booking from unrelated advertising.
4.5 Changes of Purpose
Personal information will not be used for an unrelated purpose without considering the applicable legal requirements, including any necessary additional notice or lawful basis.
5. Sensitive Personal Information
Marriage assistance may involve information subject to additional statutory protection.
5.1 Philippine Data Privacy Act
Under Philippine law, certain information concerning marital status, age and specified government-issued records may qualify as sensitive personal information.
Where that legislation applies, processing must satisfy an applicable condition under section 13 of the Data Privacy Act.
Specific consent must be obtained where consent is the condition relied upon. A different statutory condition may apply in circumstances recognised by the legislation.
5.2 UK GDPR Special Category Data
The UK GDPR definition of special category information is different from the Philippine classification.
Where UK GDPR special category information is actually processed, both a lawful basis under Article 6 and an applicable condition under Article 9 must be established.
Any further requirements under UK law must also be satisfied.
5.3 Information Minimisation
We aim to limit collection and handling of sensitive information to what is necessary for identified purposes.
We will not treat acceptance of our service terms as unlimited permission to process sensitive personal information.
5.4 Consent and Other Conditions
Where consent is required, it must meet the applicable legal standard and be specific to the relevant processing.
Where another lawful condition is relied upon, the relevant requirements must genuinely be satisfied.
Withdrawal of consent does not automatically require deletion of information lawfully retained on a separate valid legal basis.
6. Sharing and Disclosure of Personal Information
Personal information may be shared where lawful and necessary to perform agreed services, meet legal obligations or pursue another identified legitimate purpose.
6.1 Wedding Organisation
Relevant details may be shared with authorised solemnising officers, venues, suppliers and service personnel where required by the agreed wedding arrangements.
Recipients should receive only the information reasonably necessary for their role.
6.2 Civil Registration and Official Authorities
Information may be provided to competent civil registration authorities, government institutions, embassies or consulates where lawful and necessary for the relevant procedure.
Such institutions may act as independent controllers of the records they process under their own legal responsibilities.
6.3 Photographers, Videographers and Other Suppliers
Where these services are part of the booking, the sharing or handling of images, guest details and other information must reflect the actual supplier relationship.
The supplier may act as a processor on our instructions or as an independent controller, depending on the arrangement.
6.4 Service Providers Acting on Our Behalf
Where a provider processes personal information on our behalf, the processing must be governed by the written terms required by applicable law.
Where UK GDPR Article 28 applies, those terms must meet its requirements.
6.5 Independent Controllers
Independent controllers are responsible for determining the purposes and means of their own processing.
We remain responsible for any disclosure or processing activity for which the law makes us accountable.
6.6 Unrelated Commercial Use
We do not authorise the sale or unrelated commercial exploitation of clients' identity documents, marriage records or confidential application information.
Any separate use of photographs, testimonials or other identifying material must have an appropriate lawful basis.
6.7 Legally Required Disclosure
Information may be disclosed where required by a valid legal obligation or lawful request from a competent authority.
We will assess the disclosure under the applicable legal requirements.
7. International Access and Transfers
Marriage Assistance PH is operated by a UK-registered company providing services connected with the Philippines.
Relevant processing may involve access to or sharing of personal information across national borders.
7.1 Identifying the Parties
The legal treatment depends on which organisation receives the information, where it is established, its relationship to Nexus Solutions Global Ltd. and the purposes of processing.
Access by an employee of the same legal entity is not automatically the same as disclosure to a separate overseas contractor or company.
7.2 Restricted Transfers Under UK GDPR
Where UK GDPR restricted-transfer rules apply, a valid transfer mechanism must be established.
Depending on the verified transfer, the legally available mechanism may involve applicable adequacy regulations, appropriate contractual safeguards or an available statutory exception.
A general privacy notice or service contract is not, by itself, sufficient to satisfy every restricted-transfer requirement.
7.3 Overseas Recipients
For any relevant restricted transfer, the actual recipient category, destination and transfer safeguards must be identified through our operational data protection records.
Individuals may contact us for information about the safeguards applicable to their information and how to obtain relevant details where required by law.
7.4 Philippine Data Protection Requirements
Any Philippine requirements relating to data sharing, accountability, safeguards or the processing of sensitive information must be assessed separately.
7.5 Third-Party Platforms
Information handled through external messaging, hosting, communication or document services may be subject to the verified technical and contractual arrangements of those providers.
We do not represent that every international data flow is subject to identical transfer rules.
8. Retention of Personal Information
We retain personal information only for a period justified by its purpose and any applicable legal requirements.
Different categories of information may require different retention periods or criteria.
8.1 Initial Enquiries
Enquiry details are retained for the time needed to respond, consider a requested quotation and manage reasonable related correspondence.
When the enquiry no longer requires follow-up, continuing retention must be justified by an identified business or legal need.
8.2 Contractual and Service Records
Booking confirmations, payment instructions, service commencement evidence, agreed changes and records of performed work may be retained for contract administration and any applicable accounting or legal-claim period.
The appropriate period depends on the record, the relevant obligation and the date from which that obligation is calculated.
8.3 Passport and Identity Documents
Passport scans and other supporting identity-document copies are not automatically retained for the same period as contractual or financial records.
Where their original purpose has been fulfilled, further retention must be separately justified.
8.4 Marriage and Consular Documents
Marriage-related supporting records are retained according to the requirements of the contracted service, lawful document handling arrangements and any relevant continuing legal obligation.
8.5 Photographs and Video
Where photographs or recordings are handled as part of an agreed service, retention will depend on their production, review, agreed delivery and any other lawful purpose.
Use or retention for unrelated promotion requires a separate lawful basis.
8.6 Financial Records
Accounting records are retained for the periods required by the applicable accounting, tax or other legal obligations.
8.7 Security Logs and Technical Records
Technical records are retained only to the extent justified by website operation, security, troubleshooting or another identified legitimate purpose, taking account of the applicable platform.
8.8 Disputes and Legal Claims
Relevant evidence may be retained where reasonably necessary to establish, exercise or defend legal claims.
A legitimate need to retain selected records does not justify keeping all supporting personal documents indefinitely.
8.9 Deletion and Disposal
Once an identified purpose and any applicable retention requirement have ended, the information must be deleted, anonymised or securely disposed of as appropriate.
The relevant retention schedule must reflect the actual systems, categories of information and legal requirements.
9. Personal Information Security
We recognise that identity and marriage-related information can expose individuals to significant risk if handled improperly.
We are responsible for applying appropriate organisational and technical measures proportionate to the relevant risks.
9.1 Authorised Access
Access to personal information should be restricted to those who have a legitimate need to process it.
9.2 Confidentiality and Supplier Responsibilities
Relevant personnel and service providers must be subject to appropriate confidentiality, access-control and data protection arrangements.
9.3 Document Submission
Clients should avoid sending passports, financial records or other sensitive documents through a general initial enquiry.
Where such records are required, our team will identify the appropriate authorised submission arrangements.
9.4 Electronic Communications
Electronic communications and third-party platforms may present security risks.
We do not guarantee that every channel is risk-free, nor does use of a third-party platform remove responsibilities that legally remain with us.
9.5 Security Incidents
Where a personal data incident occurs, we will assess its nature, the information affected, the relevant risks and any notification obligations.
For UK GDPR incidents meeting the notification threshold, regulatory reporting is generally required without undue delay and, where feasible, within 72 hours after becoming aware of the breach.
Notification to affected individuals depends on the applicable legal conditions, including the relevant risk threshold.
Philippine notification requirements will be assessed separately where applicable.
10. Cookies and Website Technologies
Our website may involve essential functionality, security technologies and other storage or access mechanisms according to its actual configuration.
10.1 Essential Technologies
Technologies necessary for requested functionality or meeting an applicable legal exception may operate without consent where permitted.
10.2 Analytics and Other Optional Technologies
Analytics, advertising or similar technologies must be assessed against the applicable legislation and the actual purpose for which they are used.
Where consent is legally required, the relevant technology must not be used before valid consent.
Where a statutory exception applies, all conditions of that exception must be met.
10.3 Cookie Information and Controls
Information about the cookies and similar technologies actually used, including their purposes, providers, durations and available controls, belongs in our separate Cookie Policy and any required consent interface.
The website must not describe a cookie-management option that does not actually exist.
10.4 External Services
External content or third-party services may involve their own information processing.
Any such processing must be accurately described according to the technologies genuinely enabled.
11. Email, Telephone, WhatsApp and Marketing
11.1 Service Communications
We use relevant contact information to answer enquiries, communicate about bookings, request necessary information and coordinate agreed activities.
11.2 WhatsApp
WhatsApp contact is available for both Marriage Assistance PH and Nexus Solutions Global Ltd.
Where an individual elects to communicate through WhatsApp, the external platform may process information independently under its own terms and privacy arrangements.
We remain responsible for our own lawful handling of information communicated through that service.
11.3 Service Messages and Promotions
Messages about a requested or purchased service are distinct from unrelated marketing communications.
A client contacting us through WhatsApp does not automatically provide unlimited permission for future promotions.
11.4 Marketing Preferences
You may withdraw marketing consent or object to direct marketing at any time by contacting:
support@marriageassistantph.com
Where a marketing message contains an unsubscribe mechanism, you may also use it.
If you object to processing for direct marketing, we will stop that processing in accordance with applicable law.
12. Your Data Protection Rights
Your rights depend on the law applicable to the particular processing activity.
12.1 Access
You may request access to personal information processed about you, subject to legal requirements and exemptions.
12.2 Rectification
You may request correction of inaccurate information or completion of incomplete information where appropriate.
12.3 Erasure or Blocking
You may request deletion or blocking where the applicable legal conditions are met.
A deletion request does not automatically require the destruction of information that must lawfully be retained for another legitimate purpose.
12.4 Restriction of Processing
You may request restriction of processing in circumstances recognised by applicable law.
12.5 Objection
You may object to certain processing, including processing based on legitimate interests, subject to the relevant legal conditions.
You may object to direct marketing at any time.
12.6 Data Portability
Where the legal conditions apply, you may request a portable copy of relevant information or another form of lawful transfer.
12.7 Withdrawal of Consent
Where consent is the lawful basis, you may withdraw it.
Withdrawal does not invalidate processing lawfully completed before the withdrawal.
12.8 Automated Decision-Making
Where solely automated decisions with legal or similarly significant effects are undertaken, any applicable transparency and individual-rights requirements must be met.
Marriage eligibility remains a matter for the competent authorities and is not determined by our own public-law powers.
12.9 Philippine Data Protection Rights
Where the Philippine Data Privacy Act applies, individuals may have additional statutory rights, including those relating to access, correction, objection, erasure or blocking, portability, compensation and complaints.
The scope and exercise of these rights are governed by the applicable legislation.
13. Privacy Requests and Complaints
13.1 Submitting a Request
Privacy requests and complaints can be addressed to:
support@marriageassistantph.com
Alternatively, you may write to Nexus Solutions Global Ltd. at its registered office.
Please provide sufficient information to identify the relevant issue or records.
13.2 Identity Verification
We may take necessary and proportionate steps to verify the identity or authority of the person making a request.
We will not require excessive personal information merely to discourage a legitimate request.
13.3 UK Subject Access Requests
For UK subject access requests, we normally respond without undue delay and within one month, subject to any lawfully applicable extension or pause.
Where an extension, clarification or identity verification affects the response period, the relevant statutory conditions will be followed and the individual will be informed as required.
Other statutory requests and Philippine rights may be subject to different rules.
13.4 UK Data Protection Complaints
You may raise a complaint about our processing of your personal information by contacting:
support@marriageassistantph.com
We will acknowledge receipt of a complaint falling within the applicable UK statutory complaints procedure within 30 days of receiving it.
We will take appropriate steps to consider the complaint without undue delay and inform you of the outcome.
This complaints procedure is distinct from the response period for a subject access request.
13.5 Complaints to Regulators
Where relevant, individuals may complain to:
United Kingdom — Information Commission's Office (ICO)
Information Commission's Office (ICO)
Philippines — National Privacy Commission (NPC)
National Privacy Commission (NPC)
Our internal complaints procedure does not remove the right to approach an appropriate regulator.
14. Information About Other Individuals
Our services may involve information concerning a fiancé or fiancée, witnesses, guests, parents, former spouses or other individuals.
14.1 Relevant Information Only
We collect or receive information about other individuals only where it is relevant to an identified lawful purpose.
14.2 Authority and Transparency
One client's booking does not automatically authorise every use of another person's information.
We will determine whether direct notification, consent or another lawful basis is required for the relevant processing.
14.3 Photographs and Recordings
Where wedding photographs or video recordings include guests or other participants, any processing by Marriage Assistance PH must comply with the relevant data protection requirements.
Separate advertising or promotional use must not be assumed to be authorised merely because a person attended the event.
15. Information About Children and Family Members
Some wedding arrangements may involve information about children attending an event or family members involved in lawful preparation requirements.
Information about children must be treated with appropriate care and collected only where relevant to the agreed arrangements or another lawful purpose.
Where parental or guardian information is legally necessary, we will process it according to the applicable requirements.
The collection of information about children attending a wedding is separate from the legal age and eligibility requirements for persons intending to marry.
Nothing in this Policy changes the marriage eligibility rules applicable in the Philippines.
16. Third-Party Websites and Independent Services
Our website may link to external services such as WhatsApp, government websites and other independent providers.
Independent websites may process information according to their own privacy notices.
We do not control every activity performed by an unrelated external provider.
This distinction does not exclude our responsibilities for disclosures, service providers or processing activities for which we remain legally accountable.
17. Policy Updates and Document Control
We may amend this Policy where changes in our operations, service providers, processing activities or applicable laws require an update.
The published version must reflect the processing actually undertaken.
Material new uses of personal information will be communicated where required by law.
The policy version and effective date will be displayed when the version is formally approved for publication.
We will retain an appropriate record of material changes.
Updating this Policy does not retrospectively legalise processing that lacked a valid legal basis when it occurred.
