Quick Answer

If PSA cannot find your marriage record, first check the search details and establish whether the marriage was registered with the correct Local Civil Registry. A negative PSA result can reflect a record that has not reached the national system, a search mismatch or a marriage that was never registered. Those situations require different next steps.

The result does not, by itself, establish that no wedding occurred or that either spouse is free to remarry.

Start with the result you actually received

Keep the negative certification or other written result, the receipt and the details submitted in the request. A payment confirmation, an unfinished online order and a completed negative search are different things.

Check whether you requested a copy of a specific marriage certificate or a marriage-index search. A negative copy request is not automatically a CENOMAR, and a CENOMAR is not the missing marriage certificate.

The relevant question is: “Where is the record of this particular event?” Begin with the information about that event rather than placing repeated identical orders.

Recheck names, date and place

Compare the request with the original wedding document and any certified local copy.

Do not alter the facts simply to obtain a result. If the registered name itself is wrong, that is a correction issue rather than an invitation to use inconsistent identities.

Our guide to correcting a marriage-certificate error explains the next step when the source entry contains the problem.

Contact the registry for the place of the ceremony

The ordinary local registration jurisdiction is the place where the marriage was celebrated. It may differ from the couple’s residence or the office that issued the licence.

Give the registrar the ceremony date, names and solemnising officer’s details. Establish whether an entry exists and, if it does, obtain its registration particulars and a certified copy where appropriate.

The difference between local and PSA marriage certificates matters here: finding a local entry can identify a transmission or national availability problem without requiring a new initial registration.

If you are unsure which municipality holds the record

Use the actual venue address. A resort name, postal address or nearby city used in advertising may not identify the registrar with jurisdiction.

The solemnising officer’s submission record can also help trace where the certificate was sent. Request the filing details rather than relying only on an assurance that it was “processed”.

When the local entry exists

Ask the registrar to establish the record’s transmission or endorsement position. Give PSA the local particulars and negative result when seeking its instructions.

PSA’s electronic endorsement process involves local records being submitted for national verification and approval. It is not merely a customer uploading a wedding photograph into the database.

There can also be an event indexed in the system without an available certificate image. PSA’s 2026 service procedures provide for manual verification in relevant cases. A missing image and an entirely absent local entry should therefore not be treated as identical.

Keep the case reference, documents supplied and the specific office handling the follow-up. This makes the next enquiry more useful than restarting an unexplained request.

When the local registry also has no entry

Trace the signed certificate and the solemnising officer’s delivery record. Establish whether the document was never submitted, was sent to the wrong office or is otherwise missing.

If initial registration was not completed within the applicable period, delayed registration of the marriage may be necessary. The registrar must assess the evidence and procedure; a private statement that the couple are married does not create the entry.

Do not arrange a duplicate registration before establishing whether an entry already exists elsewhere. Conflicting records can make the original problem harder to resolve.

Make a focused follow-up file

Prepare:

  1. The negative PSA result and request reference.
  2. Both spouses’ details exactly as recorded.
  3. A copy of the signed marriage document, if available.
  4. Local certification and registry particulars, if an entry exists.
  5. Evidence of submission, transmission or endorsement.
  6. Your identity and any representative’s authority.
  7. A short chronology of enquiries and responses.

The registration-after-the-wedding guide explains which part of the original process should have occurred. Use that sequence to identify the missing stage.

Questions after a negative result

Should I simply wait another month?

Waiting can be appropriate if a specific transmission or verification is underway. First establish what is pending and who holds it. No single extra waiting period resolves every cause of a negative search.

Can I use the negative result for a spouse visa?

A negative search is not the marriage certificate. The visa authority’s evidence rules determine how a missing record is handled; do not assume it accepts the result as an automatic substitute.

Does this mean we should marry again?

A database result alone cannot answer whether another legal ceremony is appropriate. Establish the existing marriage and registration position before taking a step that could create conflicting records or legal difficulties.

Can an agent guarantee the record will appear?

An authorised representative can follow up through the appropriate procedure. National verification and issuance remain official functions; a private timetable cannot decide the result.
